Manage your files
Filemonk's file management system allows you to upload, organize, and manage your files in one centralized location. You can view your uploaded files, organize licence keys, search through your content, and configure how files are delivered to customers when they purchase your products.
Accessing Your File Library
To access your file management area, navigate to Content library in the left menu bar of your Filemonk dashboard. This will take you to the main file management interface where you can view and manage your files.
Files Uploaded Tab
The Files uploaded tab displays all digital files you've uploaded to Filemonk, including PDFs, images, videos, audio files, and external links. This is your main workspace for managing individual files and their settings.

- See file details including name, type, size, and upload date
- Access individual file actions through the Edit button / selecting the file

Licence Keys Tab
The Licence keys tab organizes all your software licence keys and activation codes by tags. This section helps you manage digital licence distribution for software products and downloadable applications.
- View licence keys organized by custom tags
- Manage licence key assignments to specific orders
- Track licence key usage and availability
- Create and organize licence key groups
File Information Display
Each file in your list shows essential information to help you quickly identify and manage your content:
- File Name: The display name of your file as it appears to customers
- Type: File format (PDF, MP4, ZIP, External Link, etc.)
- Size: File size for uploaded files, or "External" for linked files
- Upload Date: When the file was added to your Filemonk library
- Actions: Quick access to edit and manage individual files
Searching and Filtering Files
Use the search functionality to quickly locate specific files in your library, especially useful when managing large collections of digital assets.
- Click the search field at the top of the file list
- Enter any part of the filename you're looking for
- Results update automatically as you type
- Clear the search to return to the full file list
Bulk File Operations
Select multiple files to perform bulk actions, streamlining your file management workflow when working with multiple assets.
- Use the checkboxes to select individual files
- Select all files using the header checkbox
- Access bulk actions through the Delete Files button
- Confirm bulk deletions through the confirmation modal
Uploading New Files
Filemonk supports multiple methods for adding new digital content to your library, accommodating various file types and sources.
Supported File Types
Filemonk accepts a wide variety of digital file formats:
- Documents: PDF, DOC, DOCX, TXT, RTF
- Images: JPG, PNG, GIF, SVG, WEBP
- Videos: MP4, MOV, AVI, WMV, MKV
- Audio: MP3, WAV, FLAC, AAC, OGG
- Archives: ZIP, RAR, 7Z, TAR
- Software: EXE, DMG, APP, DEB, RPM
- External Links: Any publicly accessible URL
Managing Individual File Details
Click on any file name or the Edit button to access detailed file management options and configuration settings.

The file details page provides comprehensive management options for individual assets:
- Open file: View or download the file directly
- Copy link: Copy the file's direct download URL to clipboard
- Replace file: Upload a new version while maintaining all existing links
- Delete file: Permanently remove the file from your library
- Recent Orders and Usage Tracking
Monitor how your files are being delivered to customers through the Recent orders section:
- View recent orders that included this file
- See customer email addresses and order dates
- Access order management through the Manage action
- Track file delivery and customer access patterns
Advanced File Management
- File Replacement
When you need to update a file while maintaining all existing product links and customer access:
- Use the Replace file action from the file details page by clicking on 'More on the top right corner and select 'Replace File'
- Upload the new version through the replacement interface
- All existing links and product connections remain intact
- Customers automatically receive access to the updated version
- External File Management
For files hosted on external services, additional management options are available:
- Edit the external URL if the file location changes by clicking on 'Edit file' on the right side of the page.
- Update the display name without affecting the source link
- Monitor external file accessibility and update links as needed
- Export and Backup
Maintain records of your file library through the export functionality:
- Use Export CSV at the bottom of the file list
- Receive a detailed report of all files via email
- Include file names, types, sizes, and upload dates
- Use for backup records or inventory management
